Refund and Returns Policy

Overview

This Refund and Returns Policy applies to all course registrations, observerships, fellowships, workshops, and educational services offered by Arcas Education Limited (“Arcas”, “we”, “us”, “our”) through our websites arcasedu.com and arcasedu.online.

By registering for any Arcas programme, you agree to the terms below.

Digital and Educational Services

All of our offerings are educational services (not physical goods). Once a registration is confirmed, administrative, coordination, and faculty costs are immediately incurred. Refunds are only available as set out in this policy.

Cancellation by the Participant

  • ≥ 30 days before the start date: 70% refund (written request to info@arcasedu.com).
  • 30 to 14 days before the start date: 50% refund.
  • < 14 days before the start date or after the programme begins: No refund. You may request to transfer your seat to a later session or nominate a replacement participant (subject to approval and eligibility).

Cancellation by Arcas Education

If we reschedule or cancel due to insufficient enrolment, faculty unavailability, or force majeure, you may transfer to another available programme or receive a full refund of the registration fee. We are not liable for other costs (travel, accommodation, visa, etc.).

Visa and Travel Issues

If you cannot attend due to visa refusal or official travel restrictions, you may be offered a course transfer credit to a future session if you provide official documentation at least 21 days before the start date.

Online Courses and Digital Content

Refunds are not available for online/digital products (e.g., downloadable materials, virtual access) once access credentials have been issued.

Substitution Policy

You may transfer your registration to another qualified medical professional up to 7 days before the start date, subject to eligibility checks and documentation.

Programme-specific Variations & Partner Institution Policies

Some programmes are delivered with/at partner universities, hospitals, laboratories, or venues. Their policies may impose different or stricter rules (e.g., on cancellation, attendance, conduct, certification, refunds, or deadlines).

  • Any partner-specific terms will be stated during registration and apply in addition to this policy.
  • If there is a conflict, the partner institution’s policy will prevail for that programme.
  • Arcas and its partners reserve all rights to adjust schedules, faculty, venue, or format for operational or academic reasons; material changes will be communicated as soon as practicable.

Force Majeure

We are not responsible for cancellations or delays due to events beyond our reasonable control (natural disasters, public health emergencies, government actions, transportation disruptions, etc.).

Refund Processing

Approved refunds are made to the original payment method within 14–21 business days after confirmation. Bank or payment gateway fees may be deducted where applicable.
